‍What is Document Management?

Since the fifties of the last century, the awakening of a dormant science, documentation, has been taking place. In these changes, it is committed to innovation and development, incorporating technology into all processes and applying quality management systems based on processes.

The business world has opted for an efficient, cost-effective and high-quality management system. You have chosen to create strategic alliances as a profitable and useful form of management.

The purpose of creating and applying a document management model, based on a systemic analysis, is to produce the standardization of policies and procedures in the management of said documents in a way that allows their adequate protection, recovering the information contained in them from the most efficient way.

The result should be a system that is present in the creation, reception, traffic, use, archive, recovery, access, from all the processes that allow these actions to be carried out. A system that centralizes and controls, ensuring the traceability of the actions, documents, and responsibilities of all the actors involved.

How is it implemented?

A model is generated for the body to be implemented following the methodology of the ISO 15.489 standards with a non-drastic reengineering, which uses the existing structures and infrastructures, procedures, supported by technological and administrative tools, using leverage.

This standard provides guidance on how to manage or administer documents and their relationship with electronic systems for the preservation of files on different media. Its objective is to standardize the policies, procedures and practices of the management of archival documents in order to ensure their adequate care and protection, and to allow the evidence and information they contain to be retrieved in a more efficient and effective way.

It focuses on aspects such as control over access to documents and refers with greater emphasis to the need for metadata.

Its use is essential for managers and specialists in public administration organizations, private companies, consulting companies, document management software providers, university teachers and researchers.
