Documentation archive on organic media

The physical files must consider the different formats and elements to be entered, as well as the time of permanence. Chemical deterioration factors that cause discoloration of paper and ink must be taken into account.

Puntualmente:

Fungal attacks, related to high humidity conditions

The brittleness of the paper caused by acids or materials in contact

Deterioration caused by the interaction of inks and paper

Physical deterioration caused by the handling and transfer of documentation

Kinks, breaks

Pest attacks

Ambient

Regarding the environment of the documentation archiving area in organic formats, international recommendations on the matter are specific, because the studies carried out allow the use of results measurement tools, removing the multiplicity of criteria.

DATAPRIMA has the knowledge and methods to respond to different situations and react to the most relevant points, here are some suggestions:

Temperature conditions between 18 and 20 degrees and a humidity range of 45 to 50%, to delay deterioration.

Humidity should be kept below 60% to prevent fungal growth.

Temperature fluctuations greater than 10% should be avoided as they enhance degradation.

The use of air conditioning 24 hours a day is recommended.

Exposure to ultraviolet light should be avoided, the use of lighting with fluorescent tubes is recommended since its UV radiation is low.

It is suggested that the lighting be used only when required, and that it is 2-3 meters away from the documentation.

It is advisable to avoid windows and possible access to sunlight, insects and rodents to reduce the possibility of entry of pests.

Food intake should be prohibited.

Cleanliness of the environment is crucial.

The facilities must be regularly visited in search of possible sources of insects.

The shape of the design on the aisle shelves and the file in general should consider these references:

Documents must be protected, never directly exposed to ambient conditions, dust, light, etc.

The materials used for archiving and storage must be of proven quality.

For out-of-measure elements, particular spaces and structures must be designed.

It is recommended to use chemically inert elements for the construction of shelves, files, etc.
